These Terms and Conditions apply to all bookings made with Chosen Events Entertainment Ltd. By confirming a booking, the client accepts the terms outlined below.
1. Booking Process
A booking is confirmed when the client approves the Booking Contract and pays the deposit.
Once confirmed, the date and the act are secured in the schedule.
2. Payments
A deposit is required to secure all bookings.
The remaining balance must be paid by the date shown on the Booking Contract.
Payments must be made to Chosen Events Entertainment Ltd using the details provided on the invoice.
3. Client Responsibilities
The client must provide accurate event information, including:
- Date
- Venue
- Timings
- Access details
- Parking arrangements
- Technical requirements (if agreed)
The client must ensure the venue meets any reasonable performance conditions such as power, lighting, stage space and safety requirements for the act.
Venue Access and Facilities
The client must ensure the act can access the venue at the agreed arrival time.
Parking must be provided or reimbursed.
Any required passes, permissions or security procedures must be arranged in advance.
If the performance requires power, staging, lighting or indoor-only equipment, the venue must meet these conditions.
Performance Requirements
Each act has specific performance needs, which may include:
- A private changing area
- Power supply
- A safe performance space
- Protection from weather (for outdoor events)
- Time for setup and sound checks
These requirements will be listed on the Booking Contract.
The client must ensure these are provided.
Act Availability and Contingency
Chosen Events Entertainment supplies a large network of trusted performers across the UK.
In the rare event that a performer becomes unavailable due to illness or an emergency, Chosen Events Entertainment will arrange a suitable like-for-like replacement.
If a replacement is not suitable or not available, the client will receive a full refund of any fees paid for that specific act.
Chosen Events Entertainment will always prioritise continuity and quality to ensure the event runs smoothly.
Changes to the Booking (Client Requests)
If the client needs to change the date, time or venue, Chosen Events Entertainment will try to accommodate the request.
Changes are not guaranteed and may affect the act’s availability or fee.
Any approved changes must be confirmed in writing.
Client Cancellations
If the client cancels the booking:
- The deposit is non-refundable.
- If cancellation occurs after the balance is due, the full fee remains payable.
- Any exceptions will be at the discretion of Chosen Events Entertainment.
Event Delays or Overruns
If the event runs late and the client requests the act to stay longer, additional fees may apply.
These fees must be agreed with the act through Chosen Events Entertainment.
Liability and Safety
All acts supplied through Chosen Events Entertainment hold Public Liability Insurance.
The client and venue must maintain a safe environment for performers and guests.
Chosen Events Entertainment is not responsible for:
- Venue issues
- Unsafe surfaces
- Power failures
- Weather-related disruption
- Equipment damage caused by the client, venue or guests
Any damage to an act’s equipment caused by the client or guests will be charged to the client.
Photography and Video
The client is welcome to take photos and videos for personal or internal promotional use.
Any commercial use requires written permission from Chosen Events Entertainment and the act.
Marketing and Publicity
Chosen Events Entertainment may use non-sensitive photos or short video clips from public events for marketing purposes.
If an event is confidential, the client must confirm this in writing before the event so all promotional use is restricted.
Force Majeure
Neither party is liable for cancellations caused by events outside their control, such as extreme weather, venue closure, natural disasters or major transport disruption.
If this occurs, Chosen Events Entertainment will help the client rebook or reschedule where possible.
Governing Law
These Terms and Conditions are governed by the laws of England and Wales.
